We recently received an Additional Document Request (ADR) for a Canada PR application that gave us only five hours to prepare and submit the requested immigration form and supporting document. 

I do not know whether it was a mistake, whether the visa officer was angry, or what the reason was for giving such a short deadline. The applicant was at work when the email arrived. By the time the applicant returned home and checked the personal email at around 6:30 p.m., the deadline had already passed.

We received this ADR on 29 September 2026. The email was sent at around 1:00 p.m., and the applicant checked it at approximately 6:30 p.m. Since we do not have access to the applicant’s personal email, we were not able to check it earlier. By the time we became aware of the request, the deadline had already expired, leaving us with only around five hours to respond.

1. A Same-Day Deadline for an Additional Document Request

Preparing documents takes time, especially when the requested document requires a lot of information. It is difficult to understand how an applicant is expected to prepare and submit an ADR or PFL reply on the same day, particularly when only a few hours are provided.

In this case, the visa officer requested three documents. The deadlines for the first two documents were 7 October, which gave us sufficient time to prepare them. However, the third document had a deadline of 29 September 2026, the same day the email was sent.

The document required considerable information and effort to prepare. It was also not a mandatory document for an Express Entry application, although it was required in a non-Express Entry PR application. The visa officer still requested it for this application and gave us a same-day deadline. Visa officers can request documents, but the time provided to prepare them can make a significant difference.

2. Understanding the Date and Time of an ADR Deadline

When a deadline in Canada is provided as a date without a specific time, the time is considered to be UTC. Applicants need to understand how that time corresponds to their own location.

For example, if the deadline is 29 September at 12:00 a.m. UTC, the corresponding time in India is 5:30 a.m. on 30 September. In Canada, it is generally 5:30 p.m. on 29 September. Therefore, the date and time of the deadline can appear different depending on where the applicant is located.

In our case, the deadline was 29 September 2026, which corresponded to approximately 5:30 or 6:00 p.m. in Canadian time. The applicant reached home at around 6:30 p.m., after the deadline had already passed. Although the date may appear as the following day in India, applicants should not assume that they have until midnight in Canadian time to submit their documents.

It is important to calculate the deadline according to the time zone mentioned and the location from which the applicant is responding.

3. Preparing the Reply After the Deadline Had Passed

When we checked the email, the deadline for the third document had already expired. We had to prepare the reply as quickly as possible, so we sat down and worked on the documents over the next five to six hours.

At the time of submission, the system showed “Replacement Overdue” for the document with the expired deadline. The other two ADR documents were showing “Replacement Needed.” Fortunately, the upload tab for the overdue document was still open and enabled, allowing us to submit the requested document.

Usually, when an ADR or PFL deadline has passed, the upload tab may be closed or disabled, preventing the applicant from submitting the reply through that section. In our case, the tab was still enabled, so we were able to upload the document through the same form.

4. Submitting the Reply Through the Available Tab and Web Form

We tried to submit the reply through the same upload tab and also attempted to submit the documents through the web form. However, the immigration form was larger than 2 MB, so we were unable to attach it through the web form.

If the upload tab had been disabled, we would not have had the option to submit the document through that tab. We could only have tried sending an email to the visa officer to see whether the document could be assessed, but there would have been no guarantee that it would be considered. The web form is the appropriate way to submit requests and replies, while email is not the usual method for submitting them.

Fortunately, the upload tab was still available, and we were able to submit the document through it. After that, we also submitted a web form explaining why the reply had been submitted late.

5. Explaining Why the ADR Reply Was Late

In the web form, we explained that the late submission was not intentional. The email had been received at around 1:00 p.m., but the applicant was at work and checked the personal email only after returning home at approximately 6:30 p.m. By then, the deadline had already passed.

We had no other option but to prepare the document after discovering the request. We completed the reply over the next five to six hours, submitted it through the available upload tab, and then explained the circumstances through the web form.

Although we managed to submit the document, the situation remains stressful for both the applicant and us. We have done everything correctly in the application, but the requested document was not submitted within the deadline set by the visa officer. We do not know how the visa officer will respond to a document that was submitted after the deadline.

6. The Possible Consequences of Missing an ADR or PFL Deadline

If an applicant receives an ADR or PFL and is given only five or six hours to respond, the short deadline can create a serious problem. A delay in submitting the requested document can lead to a refusal and may also lead to a ban.

In our case, everything else in the PR application was in order, but the same-day deadline created uncertainty about how the application would be assessed. Even after submitting the document, we cannot be certain how the visa officer will react to the late reply.

In most ADRs and PFLs, we receive four, five, six, seven, eight, or ten days to submit the requested documents. Receiving a deadline of only a few hours is a very unusual and stressful situation. I do not know whether this was an error, but it has made the application much more complicated.

7. Check Your Email and GCKey Immediately

Whenever you receive an email from IRCC after submitting an application, do not delay checking it. Do not assume that you can check the email later or review your GCKey account at another time.

Check your email and GCKey immediately to see whether you have received an ADR, a PFL, a decision, or another communication from IRCC. If it is an ADR or PFL, check the requested documents and the deadline so that you can respond without unnecessary delay.

A situation like ours can happen when an applicant does not see the email until after the deadline has passed. The applicant may be working or may not have immediate access to their personal email. However, when a deadline is very short, even a few hours can make a difference.

That is why applicants should not be lazy about checking their emails or GCKey after receiving communication from IRCC. If a visa officer has provided a same-day deadline, an immediate response is important.

8. A Situation Beyond Our Control

This entire situation made the day very stressful. We started the morning by preparing the reply, submitting the document after the deadline, and explaining the delay through the web form. Even though we had completed the rest of the application correctly, we were left uncertain about how the visa officer would assess the late submission.

These are situations that are beyond our control. We can prepare the documents and try to respond as quickly as possible, but we cannot control the deadline set by the visa officer or guarantee how a late reply will be assessed.
